Aim 

To provide efficient administration support to the Learning & Development and Lifecycle Team.

Joint Responsibilities:

  • Contractual change and exam letters

  • Assistance and contribution towards mandatory reporting

Lifecycle responsibilities:

  • Take ownership for the work permit and employment permit application and administration process, including sending applications to Immigration and Housing Departments, respectively.

  • Produce accurate reports as and when required and assist in populating the monthly HC Report and Staff Updates.

  • New joiner onboarding; Prepare onboarding documentation and schedules, run ‘Welcome Day’ for new starters (linking in with L&D and other IFS Team, Coaches and buddies)

  • Leaver process; be accountable for the end-end leaver process (including exit interviews) across all resignations

  • Updating the starter and leaver pipeline with employee information

  • Employee relations: Prepare documents and take minutes in ER cases

  • General administration and projects within life cycle of employees: Assist as required 

Learning & Development responsibilities:


  • Deploy and communicate required elearns to target audience and then track completion against set deadlines 

  • Ensure electronic attendance registers are maintained and followed up where necessary

  • Assist with reporting to relevant stakeholders

  • Support the operational running of large in person and virtual training events

  • Regular liaison with First Intuition regarding course timetables, bookings and cancellations. Coordinate student commitments between First Intuition, the student and the Resourcing team 




  • Maintain training trackers with exam results and student progress including compiling student feedback during performance cycles

  • Book and liaise with venues for classroom-based training 

  • Maintain calendars for all internal training including sending out joining instructions and feedback forms 

Role Requirements:

  • Excellent attention to detail and accuracy

  • Excellent organisational skills, the ability to prioritise workload and meet tight deadlines

  • Resilience and the ability to work under pressure

  • Excellent written and verbal communication skills, as the role requires contact with a wide variety of people internally and externally, at a varying level of seniority.

  • Strong IT & tech skills, and a keenness to learn and develop new skill sets

  • Appreciation of diversity and an inclusive mindset

  • Proactive, self-motivated and able to take responsibility for own work

  • Graduate degree ideally within or related to Human Resources and or CIPD qualified

 Desirable:

  • 1 -2 years prior experience in a HR or office environment
